Note: You may opt to use other TOTP Authenticators, but Microsoft Authenticator and SMS are the only two that Robinson Park will support.

Step 1: Setting Up 2FA Using Microsoft Authenticator:

  • Sign In: Log in to your Office 365 account at https://aka.ms/MFASetup.
  • Choose 2FA Method: Select "Authentication phone" as your 2FA method.
  • Install Microsoft Authenticator: Download and install the Microsoft Authenticator app on your smartphone from your Apple App Store, or Google Play Store.
  • Scan QR Code: Open the Authenticator app and scan the QR code shown on the setup page. This links your account to the app.
  • Verify: Once linked, the app will display a code. Enter this code in the verification field on the setup page.
  • Backup Codes: Save the provided backup codes in a safe place. These codes will help you access your account if you can't use the app.

Step 2: Maintaining Your 2FA:

  • Changing Devices: If you change your smartphone, visit https://mysignins.microsoft.com/security-info to update your 2FA settings.
  • Updating Phone Number: If your phone number changes, update it on the same security info page to ensure you can receive SMS codes for verification.
  • Backup Codes: Remember to keep your backup codes safe. Don't share them with anyone and store them securely.

Step 3: Using Microsoft Authenticator:

  • Generating Codes: When you log in to your Office 365 account, you'll receive a push notification on the app. Tap "Approve" to verify your identity.
  • Manual Code Entry: If you can't use the app, you can manually enter the code generated by the app during login.

Step 4: Additional Features: Backup and Recovery:

  • Set up account recovery options within the app, like a secondary email address.
  • Multiple Accounts: Microsoft Authenticator can handle multiple accounts from various services, adding convenience.

Conclusion:

By using Microsoft Authenticator for Two-Factor Authentication, you're ensuring top-notch security for your Office 365 account. With this guide, you've learned to activate, maintain, and use 2FA effectively. In the next article, we'll explore alternative 2FA methods for added flexibility.
