Below are instructions on how to use Barracuda's Outlook Add-On to encrypt an email you are sending or reporting an email you've received as SPAM.
This Add-On should automatically add to your installed copy of Outlook, and also the Outlook Web App. If you don't see it anywhere while viewing a message or just exploring Outlook, click the small square of boxes on the top-right and then click Barracuda.
Still not there? Then the Add-On didn't automatically install for whatever reason but fear not! It can be manually installed using this document:
Reporting SPAM:
(keep scrolling down to learn how to encrypt)
Using an Installed Copy of Outlook:
Across the top you should see a blue button marked "Report Email." Clicking that will turn the email over to Barracuda so they can watch for similar emails like it in the future and block them.
Using OWA:
Outlook's web app, after clicking the small square of boxes on the top-right of an email you're reading, will offer the Barracuda Email Protection Add-On. Clicking it opens a small window on the right side of the message to use for reporting this email as SPAM.
Encrypting A New Email:
The simplest approach to encrypting email is to simply add "encrypt:" to the very start of your subject line. This simple action will tell Barracuda that the email you're sending should be encrypted. Here's how this would look:
- From: You!
- To: WhoeverYouAreEmailing
- Subject: encrypt: Your super important tax documents!
And in hopes to add for more clarity, here's a screenshot of how it might appear visually while you compose an email:
Alternatively, you can use the Add-On across the top row of Outlook.
Using an Installed Copy of Outlook:
Across the top you should see a blue button named Encrypt Message.
Clicking it will open a side panel showing Encryption for this message is Off. Toggling the switch will enable Encryption.
After enabling encryption for this email, you'll notice a TXT file auto-attach itself. Leave that file attached, and feel free to attach any more if needed.
Using OWA:
Outlook's web app behaves very similar. The blue Barracuda Email Protection button should be across the top of a new email. Clicking it will offer the option to encrypt, and after enabling encryption for this email a small TXT file will be attached. Leave it attached, and feel free to attach anything else necessary.
Receiving Barracuda Encrypted Emails:
Your recipient will receive an email letting them know an encrypted message is waiting for them. Following the link in the email will take them to Barracuda's website so they can receive the message you've sent.
The above link is to the generalized login for Barracuda encrypted emails, but your recipient will receive a URL aimed at this domain with data within it specific for their use-case.
After your recipient logs in, they can use the encrypted Barracuda email site to read your email, interact with your attached files, and more.
