Why This Matters
Robinson Park IT Services supports over 40 buildings along with Corporate with a very small team and its partners. Due to this scale, IT is not always able to provide immediate, on-demand support for audio/visual, device, or network issues and don't have IT staffing on-site at each location.
When meetings begin without prior testing, technical issues can:

- Create avoidable frustration for attendees
Best Practices for Meeting Preparation
1. Test Equipment in Advance
Before your meeting:
- Power on displays, conferencing systems, and microphones
- Verify audio and video functionality
- Confirm internet connectivity if required
- Test any adapters or cables required for your device
2. Validate Personal Devices
If you plan to connect your own laptop or device:
- Ensure compatibility with room equipment
- Bring necessary adapters (USB-C, HDMI, etc.)
- Test screen sharing, audio output, and conferencing tools
- Find any adapters or cables you may need so they're in-hand before the meeting begins
3. Schedule Early Testing for Larger Meetings
For important or large-scale meetings:
- Reserve time to test the room 1-2 days in advance
- Confirm all equipment supports your meeting requirements
- Identify alternate rooms if needed as a backup, working with Building Management with reservations
4. Submit a Ticket for Support
If you encounter any issues:
- Submit an IT ticket with as much detail as possible to it@robinson-park.com so Robinson Park can come on site when available and troubleshoot, and schedule involvement with our A/V partners if needed
- IT will follow up to troubleshoot and resolve issues, often after the meeting, to prevent further delays and prevent from interrupting a scheduled event
